ATHLETE PRIVATE

Draft — to be completed and reviewed by a lawyer before launch.

Terms

Last updated [date]

These terms apply to your membership of Athlete Private, a relocation and concierge service for athletes moving to the UK and Europe, provided by [Company legal name] Ltd (“we”). By signing in you agree to them.

Membership

Membership is personal to you. We set up your account once your plan is confirmed. Keep access to your email account secure — it is how you sign in. We may pause or end a membership that is misused, and you may close yours at any time from your Passport.

What we do

We source, recommend and arrange services from independent suppliers on your behalf. Nothing is booked until you choose an option and we confirm it. Each booking is subject to the supplier’s own terms, prices and cancellation policy, which we will share with you before confirming. We are not the supplier and are not responsible for the supplier’s performance, though we will always help put things right.

Advice we don’t give

We do not give immigration, tax, legal or financial advice. Where you need it, we coordinate with your club or team and introduce registered or qualified professionals, who advise you directly under their own terms and are responsible for that advice.

Who pays

Your membership may be arranged and paid for by you, or on your behalf by your agent, club or team. If they arrange it, they are our client for fees and receive the invoices, but the service is provided to you: we act on your instructions and keep your requests and personal information confidential from them unless you agree otherwise.

Fees and payment

Membership has three tiers: Debut (a one-off Arrival Pack, with optional monthly support), Season (paid yearly or monthly, for an individual, a couple or a family) and Legacy (yearly, priced individually). Prices are those shown on our website, or quoted to you, when you join. Your tier sets what the service includes and who it covers. We will still help with requests outside your tier, and confirm any extra charge or an upgrade with you first. Our fees cover the concierge’s work: bookings, rent, school fees and other third-party costs are passed on exactly as charged. We invoice membership fees; [payment terms, notice period for cancelling and VAT — to be agreed].

Our 30-day promise

If Athlete Private isn’t right for you, tell us — your concierge, or in writing — within the first 30 days of your membership or service starting, and we will refund the fee you have paid. If we have already started settling you in, we keep a fixed fee of 25% of the fee you paid to cover that work. Supplier costs already paid on your behalf are not refundable. We pay refunds within 14 days of you telling us. This promise is in addition to your legal rights, including any right to cancel within 14 days.

Approvals and spending

We follow the spending preference in your Passport. Where you have given someone in your Inner Circle permission to approve bookings, we may act on their approval as if it were yours.

Our responsibility to you

We will act with reasonable care and skill. We are not liable for losses caused by suppliers, events outside our control, or information you gave us that was inaccurate. Nothing in these terms limits liability that cannot be limited by law. [Liability cap — to be agreed.]

Clubs, teams and agents

If you refer an athlete to us, or arrange a membership on their behalf, you confirm that you are entitled to share their details with us and that they know you are doing so. If you arrange a membership, you are responsible for paying its fees. Services we provide to a club or team are covered by a separate written agreement, which takes precedence over these terms where they differ.

General

These terms are governed by the laws of England and Wales, whose courts have jurisdiction. Questions: [privacy@yourdomain.com].
